Finance Coordinator / Finance Administrator & Office Assistant (F/M/D) - Cologne, Germany

We are looking for a Finance Coordinator & Office Assistant to join our team in Cologne, Germany.

This role is responsible for supporting our fast-paced, mission-driven culture, on people operations and team projects in the financial field.

Essential Tasks:

Finance:

  • Liaison with the local German external accounting company, tax advisor & auditors
  • To ensure that all statuary documents / declarations are submitted in a timely manner
  • To ensure all pay slips are processed and paid appropriately
  • To ensure that information can be retrieved to produce local KPI reporting
  • Process supplier invoices in ERP on a timely and accurate manner
  • Ensuring timely payment of invoices and expenses, in line with financial procedures
  • Provide local management accounting information to head office (bank report, invoice report etc.)
  • Reporting any financial irregularities or issues of concern to the Global Controller
  • Contacting customers regarding collection issues or coordinate with the proper contact person Sales or other departments in question
  • Interact via phone and email with internal and external clients for the purpose of problem resolution, account reconciliation and to ensure prompt payments
  • Ensure all customers remain informed on their outstanding debts and deadlines
  • Petty cash management
  • Assist with other Finance tasks when requested
  • Contribute in group finance projects when necessary

 Office Assistant:

  • Answer telephone, reception of visitors, handling mail in and out
  • Preparing meetings (when booked and announced) if requested
  • Purchase necessary office supplies
  • Order and coordinate any necessary repairs of equipment
  • Assist with scan, print and archiving and preparation of letters etc., when requested
  • Participate in the daily administration of eZ in Cologne and contribute at all levels of the practical, daily functioning of the office and ensure adherence to company guidelines and company rules
  • Management of travel arrangements (booking flights, hotels etc.)
  • In conjunction with the VP HR, carry out local HR related administrative support (salaries, contracts etc.)
  • Assist other departments as required

 Your Profile:

  • Minimum 2-3 years’ experience in finance
  • Fluent German and good English language skills are a must have
  • Attention to detail and using information effectively
  • Problem solving mentality
  • Adapting to change and making change work
  • Articulate and able to work on their own initiative and independently
  • Highly organized and able to prioritize accordingly
  • Strong communication skills, being able to communicate effectively with finance and non-finance people
